General Terms & Conditions

  1. Course and Accommodation Availability
    All courses and accommodation are subject to availability. Victoria English School reserves the right to cancel or alter any course or accommodation arrangements if circumstances beyond our control arise, such as low enrollment or the unavailability of the student’s preferred accommodation. In such cases, we will endeavor to offer the best available alternative arrangements or venues, including online lessons. If no alternative can be provided, a refund for the tuition and/or accommodation fees will be offered. However, we will not accept liability for any further compensation beyond the fees paid.
  2. Force Majeure
    Victoria English School is not responsible for non-performance of contractually agreed obligations due to events beyond our control, including but not limited to government actions, natural disasters, pandemics, wars, civil unrest, or other unforeseen circumstances. COVID-19 is an example of such a force majeure event.
  3. Price Changes
    All prices are subject to change without notice. The prices for courses, accommodation, and other services are guaranteed only once a booking confirmation or invoice has been issued. Prices do not include VAT or any other taxes that may be imposed by the UK government, which will be the responsibility of the student or their sponsor unless an exemption certificate is provided.

Course Postponement and Changes

  1. Postponement of Courses
    Students wishing to postpone their course must notify the school in writing at least 21 days before the course begins to transfer deposits to a future course date.
  2. Changes Before Scheduled Arrival Date
    Students must ensure sufficient time to reapply for a visa if changes to the course affect their visa requirements. For any changes requested less than 7 days before the course start date, an amendment fee of £100 will apply. Please note that deposits and fees are non-transferable between individuals.
  3. Cancellation Charges
    Cancellations must be received in writing. The following cancellation charges apply:
    • More than 21 days before the scheduled arrival date:
      • Registration Fee
      • Course Deposit
      • Accommodation Placement Fee
      • Express Mail Fees
      • Insurance Charges (UK)
    • Less than 21 days before the scheduled arrival date (including no-shows):
      • Registration Fee
      • Tuition Fees fifty percent 
      • Accommodation Placement Fee
      • Accommodation Deposit
      • Third-party accommodation charges may apply
      • Express Mail Fees
      • Insurance Charges (UK)
  4. Visa Refusals
    If a student’s visa is refused or delayed and they inform the school before the course begins, we will only charge for direct costs incurred. Refunds will be processed as follows:
    • Tuition fees: Fully refunded, including the course deposit except Registration Fee
    • Accommodation charges: Charges as per the Accommodation Cancellation policy will apply, with the balance refunded.
    • Other fees (Registration, Placement Fees, Airport Transfer, Guardianship, etc.): These will be waived, unless the student has already used these services. Insurance fees will be charged, as they are processed at the time of enrolment.
  5. Changes After Scheduled Arrival Date
    Once a course begins, no refunds will be issued. If changes are requested after arrival, an amendment fee of £100 will apply (except for course upgrades). For students under 18 years of age, refunds will only be made to the person from whom the payment originated.
    Short Courses (1-8 weeks): Courses cannot be canceled or shortened, and there will be no refund for unused tuition.
    Long Courses (9 weeks or more): A 4-week written notice is required for any cancellations or changes. Refunds are calculated based on the pro-rata amount for the period attended, minus the applicable amendment fees.

Accommodation

  1. Accommodation Arrangements
    Victoria English School generally acts as an intermediary in arranging accommodation and is not directly responsible for the quality or any damages incurred. Students are advised to notify the school immediately if their accommodation is unsatisfactory so we can attempt to resolve the issue or offer an alternative.
  2. Accommodation Cancellation & Changes
    Accommodation cancellations or changes must be notified in writing:
    • Residence and Homestay: 7 days’ notice required; otherwise, 7 days’ fees are due.
    • Guesthouses and Hotels: Students must give at least 14 days’ notice of cancellation.
    • Amendment Fee: A £100 fee applies for any accommodation changes made after confirmation.
  3. Retention Fee for Absences
    If students leave personal belongings in their accommodation during absences, a 50% retention fee of the weekly accommodation charge applies.

Use of Personal Information

The personal information you provide will be used to process your application, manage your course, and communicate with you about your studies. Victoria English School will take all reasonable measures to protect your data and use it in accordance with UK data protection regulations. Insurance

Students are strongly advised to obtain appropriate insurance to cover personal injury, illness, and travel disruptions before arriving in the UK. Victoria English School offers an insurance service at a competitive rate, but this is not refundable if the student cancels their course.

Disciplinary Code

Victoria English School reserves the right to terminate a student’s course without notice in the event of serious misconduct, non-compliance with attendance requirements, or failure to meet the school’s behavioral standards. In such cases, no tuition refund will be provided, and any outstanding fees will become immediately payable.

Promotional Photographs and Videos

Victoria English School may take photographs or videos of students during their courses for marketing purposes. If students do not wish to appear in such materials, they should notify us at the time of booking.

Governing Law

These terms and conditions are governed by UK law. Any disputes arising will be subject to the exclusive jurisdiction of the courts of England and Wales.

Changes After Scheduled Arrival Date

Important: Once the student’s course has commenced, no refunds will be offered for cancellations, withdrawals, or any changes to the course duration. Changes to the course (except upgrades) after the start date will incur an amendment fee and must comply with visa conditions.
