Refund and Cancellation Policy

1. Standard Cancellations

More than 21 days before the scheduled arrival date:

If a student cancels their booking more than 21 days before the scheduled arrival date, the remaining balance will be refunded minus the following non-refundable fees:

• Registration Fee
  
  
• Accommodation Placement Fee
  
  
• Homestay Guardianship Fee (if applicable)
  
  

Less than 21 days before the scheduled arrival date:

If a student cancels less than 21 days before the scheduled arrival date, the remaining balance will be refunded minus the following fees:

• Registration Fee
  
  
• Accommodation Placement Fee
  
  
• Accommodation Deposit
  
  
• Homestay Guardianship Fee (if applicable)
  
  

Please note: Additional cancellation fees may apply for third-party accommodation providers (residences, hotels, or homestays). Victoria English School will pass on any direct costs incurred.

After the program start date:

If a student cancels after the course has started and up to and including 10% of the total instruction hours have been provided:

• The school may retain up to 30% of the tuition fees.
  
  
• Any course material fees paid will be refunded if materials have not yet been provided.
  
  

2. Visa Refusal Cancellations

If your visa application is refused, the following conditions apply:

1. Notification Requirement:
   You must notify the school immediately in writing upon receiving your visa refusal. We must receive the official visa refusal email and refusal letter from the visa issuing authority at least 7 days before the original course start date.
2. Refunds for Visa Refusals (received 7+ days before the course start date):
   If the visa refusal is confirmed in writing at least 7 days before your scheduled course start date, the following Visa Refusal Cancellation Fees will be deducted:

• £250 Visa Refusal Cancellation Fee
  
  
• £70 Registration Fee
  
  
• £70 Accommodation Placement Fee (if applicable)
  
  
• 2 weeks’ accommodation fees (if booked)
  
  

1. No refunds will be issued for cancellations due to visa refusal if:

• The cancellation is received less than 7 days before, on, or after the original course start date.
  
  
• The visa refusal is the result of fraudulent documentation.
