Attendance Policy

At Victoria English School, we believe that regular attendance is crucial for academic success. Consistent participation in lessons ensures that students make steady progress in their language skills and get the most out of their learning experience. This policy outlines the expectations and procedures related to student attendance.

1. Purpose of the Attendance Policy

This policy is designed to emphasize the importance of attendance and to set out clear expectations for students at Victoria English School. It aims to ensure that students attend all classes on time and that any issues related to attendance are addressed promptly.

2. Student Responsibilities

Students are expected to:

  • Attend all classes as scheduled, unless they have a valid reason for absence.
  • Arrive on time for each class. Arriving late disrupts both the student’s learning and the class environment.
  • Notify the school in advance if they are unable to attend a class, or if they will be late.
  • Provide documentation (e.g., a doctor’s note) if they are absent due to illness or other serious circumstances for an extended period.

3. Reporting Absences

If you are unable to attend class, you must inform the school as soon as possible, preferably before the start of the class. You can report your absence via:

Students should inform the school of any absences by 9:00 AM on the day of the class.

4. Late Arrivals

Arriving late for class disrupts the learning environment. We ask that students make every effort to arrive on time. If you arrive more than 15 minutes late without prior notification, you may not be allowed to join the class, depending on the teacher’s discretion.

Frequent late arrivals will be monitored, and students may be asked to meet with a school representative to discuss how to improve punctuality.

5. Absences and Course Progress

  • If a student misses more than 20% of the course without valid reason, they may risk disqualification from the course or face other academic consequences.
  • Regular attendance is essential for maintaining progress in language development. We monitor attendance closely, and students with poor attendance may not be eligible for course completion certificates.
  • If you anticipate missing classes due to personal circumstances or travel, please discuss this with the school at least 2 weeks in advance, so we can make arrangements for your absence.

6. Illness or Emergency Absence

If you are absent due to illness or a family emergency, please notify the school as soon as possible. If you are absent for more than 3 consecutive days, you may be asked to provide a doctor’s note or other proof of the reason for your absence.

7. Absence Policy for Visa Holders

For students studying under a Student Visa, regular attendance is monitored by the school in compliance with UK Visa and Immigration (UKVI) regulations. Students must attend a minimum of 80% of their scheduled classes to maintain their visa status. Failure to meet this attendance requirement may lead to reporting to UKVI and possible visa cancellation.

8. Holidays and Time Off

If you wish to take time off for a holiday or personal reason, please request permission from the school at least 2 weeks in advance. The school will assess whether this time off will impact your course progress and provide guidance on how to manage missed lessons.

9. Impact of Excessive Absence

Excessive absence without prior notice or a valid reason may result in the following:

  • A meeting with the academic coordinator or management to discuss your attendance and possible actions.
  • Restrictions on receiving a course certificate or completion report.
  • Disqualification from future courses, if attendance does not improve.

 

10. Attendance Records

The school will maintain records of attendance for all students. Students are encouraged to check their attendance regularly and inform the school immediately if they notice any discrepancies.

We are committed to working with students to find solutions and help them stay on track with their learning. We encourage students to attend classes regularly, as every lesson is an important step toward achieving fluency in English.
